1. Refund Policy Overview
At ParityExchange, we are committed to providing exceptional makeup and visagiste services. We understand that circumstances may arise that require cancellation or changes to your appointment. This Refund Policy outlines our procedures regarding deposits, cancellations, refunds, and related matters.
By booking our services, you agree to the terms of this Refund Policy. Please read this policy carefully and contact us if you have any questions.
2. Deposit and Payment Terms
2.1 Deposits
For certain services, we require a deposit to secure your booking:
- Bridal Services: 50% of the total service cost
- Group Bookings (4+ people): 30% of the total service cost
- Special Event Makeup: £40 deposit
- Makeup Lessons: £50 deposit
Your appointment is not confirmed until we receive your deposit. The deposit is applied toward the total cost of your service.
2.2 Payment Methods
We accept the following payment methods:
- Credit/Debit Cards (Visa, Mastercard, American Express)
- Bank Transfers
- PayPal
- Cash (in-person services only)
2.3 Final Payment
The remaining balance is due at the following times:
- Bridal Services: Final payment due 7 days before the wedding date
- All Other Services: Final payment due at the time of service
3. Cancellation and Refund Conditions
3.1 Standard Appointments
For individual appointments (excluding bridal services):
- Cancellation with 48+ hours notice: Full refund of deposit or option to reschedule
- Cancellation with 24-48 hours notice: 50% refund of deposit or option to reschedule (one-time only)
- Cancellation with less than 24 hours notice: No refund of deposit
- No-show: No refund and full service fee may be charged
3.2 Bridal Services
Due to the extensive preparation and reserved time for bridal services:
- Cancellation 60+ days before wedding date: Full refund of deposit minus a £50 administrative fee
- Cancellation 30-59 days before wedding date: 50% refund of deposit
- Cancellation less than 30 days before wedding date: No refund of deposit
- Date change with 30+ days notice: Deposit can be transferred to new date, subject to availability
3.3 Group Bookings
For bookings of 4 or more people:
- Cancellation 14+ days before appointment: Full refund of deposit
- Cancellation 7-13 days before appointment: 50% refund of deposit
- Cancellation less than 7 days before appointment: No refund of deposit
- Reduction in number of people: Must be notified at least 72 hours in advance, otherwise full fee for the originally booked number will apply
3.4 Makeup Trials
For bridal and special event makeup trials:
- Cancellation with 48+ hours notice: Full refund or option to reschedule
- Cancellation with less than 48 hours notice: No refund, but one-time option to reschedule with a £20 rebooking fee
4. Refund Processing
4.1 Refund Method
Refunds will be processed to the original payment method used for the deposit or payment. For example:
- Credit/Debit card payments will be refunded to the same card
- Bank transfers will be refunded via bank transfer
- PayPal payments will be refunded to your PayPal account
4.2 Refund Timeframe
We process all approved refunds within 5-10 business days of the cancellation. However, depending on your financial institution, it may take additional time for the refund to appear in your account:
- Credit/Debit cards: 3-10 business days
- Bank transfers: 2-5 business days
- PayPal: 1-3 business days
5. Refund Request Procedure
To request a refund or cancel a booking, please follow these steps:

- Include your name, booking date, service type, and reason for cancellation
- For email requests, you will receive confirmation of your cancellation within 24 hours
- If eligible for a refund, we will process it according to the timeframes mentioned above
Please note that verbal cancellations without written confirmation are not considered official. We recommend cancelling via email to maintain a record of your request.
6. Exceptions to the Refund Policy
6.1 Exceptional Circumstances
We understand that unforeseen circumstances may arise. In the following cases, we may offer full refunds or rescheduling options regardless of notice period:
- Serious illness or injury (medical documentation may be required)
- Bereavement
- Natural disasters or severe weather conditions
- Other emergencies at our discretion
Each case will be evaluated individually, and our decision will be final.
6.2 Cancellation by ParityExchange
In the rare event that we need to cancel your appointment:
- We will provide as much notice as possible
- You will receive a full refund of any deposits or payments made
- When possible, we will offer to reschedule your appointment
- For weddings or critical events, we will make every effort to arrange an alternative makeup artist of similar skill level
7. Service Dissatisfaction
7.1 Quality Guarantee
We pride ourselves on delivering exceptional service. If you are not satisfied with your makeup service:
- Inform your makeup artist immediately during or immediately after your service
- We will make adjustments to address your concerns on the spot
- For concerns that cannot be immediately resolved, contact our management within 24 hours
7.2 Refunds for Service Dissatisfaction
Refunds for completed services are evaluated on a case-by-case basis:
- Full or partial refunds may be offered at our discretion
- In some cases, we may offer a complimentary service instead of a monetary refund
- Claims must be made within 24 hours of service completion
- Photographic evidence of the issue may be requested
Please note that subjective preferences (e.g., wishing for a different makeup style after completion) do not typically qualify for refunds if the service was performed as agreed during consultation.
8. Gift Certificates and Prepaid Packages
8.1 Gift Certificates
- Gift certificates are non-refundable but are transferable to another person
- Gift certificates are valid for 12 months from the date of purchase
- Expired gift certificates may be extended for a £15 administrative fee, at our discretion
- Lost gift certificates can be replaced if proof of purchase is provided
8.2 Prepaid Service Packages
- Prepaid service packages are non-refundable once the first service has been rendered
- Unused services in a package can be transferred to another person with written permission
- Prepaid packages must be used within 12 months of purchase
9. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services after any changes indicates your acceptance of the new terms.
We will notify clients with existing bookings of any material changes to this policy via email.
